Answer

Yes, by enabling the Hide Survey checkbox from survey edit you are able to hide survey from New and Open tab and if survey is in submitted tab then it should visible in submitted tab.

Once a company submits a survey, will they be able to access that submission again and make any changes?

Answer

No, the company cannot submit the survey again once it is submitted. Manager can unsubmit the survey for that company and manager can ask company to change their response wherever they want and again click on submit.

Once the bulk download is complete, will all the companies be able to see their reports?

Answer

Bulk download is nothig to do with companies be able to see their reports. Bulk download is just for your convenience. With Publish all, companies would be able to see their reports on their home page.

I'm trying to generate the report for one of the participant. However, an error message is appearing and it does not generate.

Some special character in comment box response created this issue. So we have asked client to remove that character and then save pages, generate the datasets and generate the report.

What can be the reason for error in importing participant?

Answer

Following can be the reasons:

  • Region (Group) name has extra space. So if we add the exact name of the region (group) without any extra space, this will get resolved.
  • If Participant's name has any special character like an apostrophe ('), you might get issue in import participant. Speak to client and remove apostrophe ('), then import all the participants again. You will not get this issue.

Is there a way to download reports in bulk for all companies at the same time? Or is it a case of going manually through each company and downloading them individually?

Answer
  • It works only for "word" and "pdf" report, but not for digital scorecard.
  • Click on "Generate all" button into your report and wait untill all pdf files get generated.
  • Click on "Download all" button in your report once pdf file for all participants gets generated.

Why would companies don't get "Save" OR "Save & Continue" button in their survey?

Answer

Once the survey is submitted by the company with their responses, now if they go into any page of that survey, they will never get "Save" OR "Save & Continue" button. They need to ask manager to unsubmit the survey, and inform the company to change their response and save those pages again and then again submit their survey.

"TEST A 2024" Survey doesn't show previous year's responses in the history window despite prefill working correctly. Why?

Answer

Check the "TEST A 2024" survey and found that the survey from which the data should get prefilled was missing (TEST A 2023).

Can we swap the node id once the survey is live?

Answer

Yes, we can do cut and paste. So swapping is possible. This will not affect prefilling.

In case of Public Assessment, if analysts have accidentally published their comment in the company comment section, is there a way to remove this comment? I'm logged in with admin permissions but I can't see a remove button.

Answer

The analyst who has added this comment, will only get delete and edit button for it. So, neither 73bit nor any administrator will be able to remove that comment. You need to ask that analyst to delete that comment.

Reason for issue on Inviting paricipant OR Import participant:

Answer

There may be an extra space in participant name. E.g. " Test". Remove those extra spaces from the participant name list (Test), save the file in csv format and then import the participants again using "Import participant functionality present in probench. After your import participant is correct, you will be able to invite participants easily.

The company name does not show in the drop-down option of auto-fill comments. Why?

  • Search for your participant in Manage Participant list.
  • Click on the edit of your participant.
  • Click on Additional Information then provide name into "Short Company Name" and the click on Update and then Update all.
  • Then click on Rebuild all pages under Manager on that participants survey page. You will be able to see participant's name into their autofill comments in their survey.

Can we show survey to some participants after the close date?

Answer

Yes we can show, we can extend their end dates. Follow below steps to do so:

  • Go to Manage Survey.
  • Select the Survey.
  • In Action column click on Participant date.
  • Search the participant.
  • Click on Action edit button.
  • Set the end date.
  • Click on override checkbox.

One of the old participant is having problems with the system. They're seeing the image attached - is there a problem or are they doing something wrong?

Answer

We have found that, that participant is unable to see the survey due to the previously set deadline. Now we have removed the custom survey deadline for that participant and now thay will be able to see the survey and submit the same.

For LOGO's Is it possible to block the upload of formats that are not jpg, png and eps?

Answer

Instead of File attachment, we have taken Image question type, which allows png, jpg/jpeg, webp, gif, svg files it will not allow eps and created dataset function also for the same "IMAGE_LINK".

Is there a limit to the number of contact email addresses per company that can receive communications from Probench? When I go into a company, use 'Manage Participants' / +Contact Information / Primary Contact Email, it will allow me to add multiple email addresses (sometimes up to around 6 per company). However, is there a limit to the number of email addresses per company that will receive a communication from Probench? If a company has 6 contacts listed, will all 6 email addresses receive the preliminary assessment?

Answer

There is no limit to it. You can add as many email addresses as you want and they will receive communications from Probench.

What if you are not getting correct data in the scoring dataset for your participant? What are the possible reasons?

Answer

Please check the possible reasons below:

  • Make sure your participant has filled data in the correct survey that you are looking for.
  • Make sure that your participant has also saved those pages after adding their responses.
  • Make sure that you have added correct survey in the "Change criteria" of your dataset. Because if your survey is incorrect, you will never get correct scoring.
  • Make sure the you have added correct node id in your dataset for which you are checking the scores.
  • Make sure your dataset is generated recently after your participant has added and saved their responses into the survey.
  • Make sure that in generated csv file, you are checking scores for your own participant and not for others.
  • Sometimes, if the survey is live and if we make any changes in template for scoring. We need to recalculate the score for that survey and then generate the dataset, so we will get correct scoring dataset csv.
  • If none of the above is applicable, there can be a reason that in back end the response is getting saved, but status is not getting saved. In such cases, the score will not appear in csv of the dataset. In this case, you can create a bug ticket in plan io and assign it to 73bit Operation Team.

What if you are not getting correct data in the Scorecard for your participant? What are the possible reasons?

Please check the possible reasons below:

  • Make sure your participant has filled data in the correct survey for which you are checking the Scorecard.
  • Make sure that your participant has also saved those pages after adding their responses. Because if responses have not been saved, they won't be visible into the dataset and Scorecard.
  • Make sure that you have added correct survey in the "Change criteria" of your dataset. Because if the attached survey is incorrect, you will never get correct scoring in your dataset as well as in your Scorecard.
  • Make sure that you have added correct node id in your dataset for which you are checking the scores. Because if node ids are incorrect, the data visible in dataset csv and Scorecard can be wrong.
  • Make sure your dataset is generated recently after your participant has added and saved their responses into the survey. If dataset is not generated recently, you will never get correct and latest data in Scorecard for your participant.
  • Make sure you are generating Scorecard for your participant after generating your dataset, otherwise you might not be able to see correct and latest data in your Scorecard.
  • If none of the above is applicable, there can be a reason that in back end the response is getting saved, but status is not getting saved. In such cases, the score will not appear in csv of the dataset and so in Scorecard. In this case, you can create a bug ticket in plan io and assign it to 73bit Operation Team.

In case of public Assessment, what if the survey is not visible to the company (user)? What can be the reasons?

Please check the possible reasons below:

  • Make sure your survey is live.
  • Make sure your participant is assigned to correct group (region). Survey group (region) and your participant's group (region) should be same.

Things to make sure while creating charts in probench.

Answer
  • Add chart name without any spaces. You can replace the space in chart name with "_".
  • Add a correct chart type.
  • Add a correct field name. Your field name should be mentioned in your dataset. Otherwise you will not be able to see your chart in chart preview.
  • Add a sort order in your chart. Otherwise your data will not appear page wise in your chart.
  • Before adding chart in your scorcard, always take a chart preview and test it very well.

What if your chart is visible in chart preview with correct data, but is not visible in Scorecard?

  • Chart name that you have added in html or pdf report is different than the one you have created in the report.
  • You have added a correct chart name in html or pdf report, but attached a back up of it to your report.
  • You might have added a condition to show some chart in your Scorecard report and that condition is false due to which you are not able to see the chart in your Scorecard report.
  • Your html file might have some other issues, due to which it is not getting loaded and you are not able to see charts in your Scorecard.
  • If above cases are not applicable, please confirm that you have generated the Scorecard.

What if your report is not getting generated on submit?

Answer
  • Make sure "GenerateReportOnSubmit" configuration is "true" on your site.
  • Make sure you have added correct report id in Extended of "Submit" or "Broucher" type question in your survey template.

What if you want to send an email to companies on submit?

Answer
  • Check the config "EmailOnSubmit" should be "YES".
  • Now set an email in Set up - manage content - "_Survey Submitted Email".
  • Set the "Heading / Email Subject".
  • Write your email content in Body.
  • Select the region.
  • In Type, you can add "Email".
  • Click on Create and then Update.
  • Now submit the survey for your test participant and check. If you are getting an email in Email logs then it shows the functionality is working fine.

What if you are not able to delete some participant from probench?

Answer

NOTE: It is better you a create a ticket for this, as you might delete some other participant data in haste. So let 73bit team handle this.
Generally, following steps need to be followed:

  • That means that participant must be having data for some survey.
  • Go to Advanced > Delete entry, Now check the survey and then the participant. If your participant has data it will show you there. But if it is 0 Unsubmitted, then you can delete the entry of that participant from Advanced > Delete entry.
  • Once the data has gone , now you can delete that participant from probench.

Can I give the folder name to dataset after the data is live? Do I need to generate the dataset after setting folder name?

Answer

There is no need to generate the dataset after setting the folder name. You can actually give folder name to the live dataset. This will not change data in it.

Can I change the question type in survey template after the survey is live without loosing any data?

We can change the question type in survey template after the survey is live without loosing any data, but only for some question type. like

Even after clicking "Generate all" button in Scorecard, generation stops in between. What can be the reason?

Answer

There might be some character issue in some participats's response. Generally, there is an issue of apostrophe ('). This type of apostrophe (') comes from keyboard, but probench will not accept. Probench will only accept (’) apostrophe.

What to test if some survey template changes come?

Answer
  • You need to test the text changes into the survey.
  • Check the status of the page for which you made text changes.
  • Check whether the previous conditions are still working properly with status check for that page.
  • Check the document download and make sure the responses are showing at correct position.
  • Also test whether after making these text changes, the response logs is showing the correct status. Because if the status is incorrect at response logs, or if it is blank, then you will not get the response and score correctly in dataset.
