Description

This functionality is designed to facilitate Company Managers in inviting Survey Participants to participate in an Assessment survey. The screen and associated actions are tailored to ensure that only designated Managers can perform these tasks, streamlining the invitation and assignment process. This Feature is available on Share Page.

Why this feature?

1. Simplifies the process for Managers to invite Survey Participants to participate in important surveys. This reduces the manual effort and time required to send invitations individually.
2. Automatically assigns Survey Participants to the relevant region upon invitation, ensuring that they are properly categorized and tracked within the system.
3. By creating a UserEntryId for each employee and updating the "Manager Code" field, the system ensures accurate and organized data management. This is crucial for maintaining a clear record of who has been invited by which Manager and their participation status.
4. Sends personalized email notifications to Survey Participants, providing them with the necessary credentials and information. This enhances communication and ensures Survey Participants have all the details they need to participate in the survey.
5. Allows Managers to see and select only those Survey Participants who have their specific Manager Code, ensuring that they are accountable for the invitations they send. This fosters a sense of responsibility and ensures that invitations are sent appropriately.

Who can use this feature?

Company Managers can use this feature to invite Survey Participants to participate in surveys, assign them to specific regions, and send them necessary information via email.

How it works?

This feature is exclusively accessible to Company Managers. Managers will view a multi-select list of Survey Participants who have their Manager Code in the "Manager Code" Participant Field. They can select Survey Participants and use the "Invite" button to send them invitations. Upon sending, the following actions will occur automatically:

1.Region Assignment: Survey Participants will be assigned to the "Assessment" region.

2.UserEntryId Creation: A unique UserEntryId will be generated for each employee using the Instance_ID of the Assessment Survey.

3.Manager Code Response: A response to the "Manager Code" question will be added based on the Manager who sent the invitation.

4.Email Notification: An email containing credentials and additional information will be sent to the employee's Primary Contact Email.
5. If a manager wishes to reinvite a specific participant, they can click the "invite" button In the invited Stakeholders list to resend the email notification to that participant.

Workflow

1.Access: Only Company Managers can access this screen.

2.Employee Selection: Managers select Survey Participants from the multi-select list.

3.Invitation: Clicking "Invite" initiates the invitation process.

4.Automated Actions: System assigns Survey Participants to "Assessment", creates UserEntryId, updates Manager Code response, and sends email notifications.
