Introduction


Feedback report is the name used for creating the final report/scorecards. This are custom word and PDF document with formatted text, response from survey, computed values from survey, graphs, tables etc. Feedback report mostly contains comparative benchmarking results. Feedback Report are used by the participants to look how they performed with others or themselves from last year.

Prerequisite


  1. There should be a generated dataset linked to the feedback report.

  2. You should create a word template with control place holder and other texts. Word template must be linked to the feedback report.

Brochure Creation Process


This section will give you a brief introduction on the process that needs to be followed for the same. Below are the steps that need to be followed :

  1. Creating a custom dataset using Dataset Manager
    with all the data needed in the scorecard like scores, responses, feedback etc. We do this so that we get each company specific information companies entered.

    • For storing feedback in the system we suggest to create admin only questions which only administrators can respond, based on the responses from the company so this can be done at the end of the cycle.
  2. Secondly, we have to create a word template with all the styles, introduction and other fixed text in it. So basically this document will have everything that does not come from the Probench.

  3. Once the above template is created we add the placeholders for all the dynamic data(data that has to come from Probench) based on the fields that were added in the report.

  4. Once the template is ready we will create brochure using Create/Edit Report menu in Probench using the above created word template. Also we will be creating the necessary charts in this step.

  5. Once the charts are created we add them to the template document using placeholders so even the chart will be company/participant specific and do not have to create individual charts for each company.

  6. Once all the above steps are completed we can then generate all the feedback reports on click of a button and all the scorecards will have its own company specific data in it.

Feedback Report List

  1. Search : Write the name of the feedback report and click on search button to find it.

  2. ADD : Click on this icon to create new feedback report.

  3. Edit : This icon will take you feedback report where you can modify the feedback report settings.

  4. List Participant Feedback Report : This will take you to list of all the participants related to feedback report and you can download specific participant feedback report.

  5. Copy : Click on copy icon to create copy of feedback report with different settings. It will also copy the charts and tables along with it

Feedback Report Add

  1. Title : Enter the title/name of the feedback report.

  2. Description : Write the description about the feedback report. It is helpful to have internal notes for team, tracking them or communicating.

  3. Dataset New : Attached the dataset from where the fields are coming for the scorecard.

  4. Word or Html documentTemplate : Select the word template from the dropdown list to fill it with survey data in that format. You can also add new template by clicking add icon next to dropdown.

  5. Generated file name prefix : Specify the prefix to add if, before the name of the file. It helps you to identify the feedback report when they are displayed to participant.

  6. Show files of types : Select the checkboxes to save the file in word or pdf format.

  7. Generate all feedback report? : Click on generate all feedback report to generate it for all participants.

  8. Email on Publish: Check the checkbox to send email whenever publish button is clicked.

  9. Publish all : Click on this button to view this feedback report to all participants.

  10. Unpublish all : Click on this button to hide this feedback report from all participants.

  11. View the feedback report : Click on this button to view the feedback report of participants.

  12. Create : Click on create button to create new feedback report.

  13. Cancel : Click on Cancel button to cancel the creation of feedback report.

  11. View the feedback report : List all the participants related to that feedback report and View Feedback Report View Feedback Report (Click to find further steps).

  12. Update : Click on update button to update/create feedback report.

  13. Delete : Click on Dalete button to deletel the creation of feedback report

  14. Cancel : Click on Cancel button to cancel the creation of feedback report.

  15. Add Charts : This icon will redirect to adding new chart page. Feedback Report Chart (Click to find further steps)

  16. Add Tables : This icon will redirect to adding new table page.

  17. Copy : Click on copy button to create copy of the charts.

  18. Edit : Click on edit button to edit charts settings.

Known Errors

  1. Click for solution of Failed to create the item. The error was: "Object reference not set to an instance of an object." error.

How can I verify participants feedback report?


View Feedback Report


Click on point 11 icon in Feedback Report Edit Feedback Report Edit to come to this page.

You will be redirected to the view participant page as shown above

  1. Search : Write the name of the participant to narrow down the search result if you do not find the participant in the list.

  2. Display Name : When you search out for participant in Search option, you get to see that participant's name in Display Name.

  3. Word Generated Report : Here you get to see when and at what time the Word Report was last generated.

  4. PDF Generated Report : Here you get to see when and at what time the PDF Report was last generated.

  5. Publish Status : So if the Report is Published you will be able to see "Publish" in "Green Colour" under Publish Status Column, however if the Report for a particular participant is not generated you will be able to see "Unpublished" in "Red colour" under Publish Status Column.

  6. View/Download : If its a Word Report, you get 2 options to view or to download the Report under View/Download (see below image). First box (which is on the left) under this column indicates to download the Report in "Word Format". Second box (which is on the right) under this column indicates to download the Report in "PDF Format".

If its a digital scorecard, you will be able to see an eye button under View/Download column (see the below image). So when you click on it you see a digital report.

  1. Action : Click on Generate button to Generate the Report.

After generation is done, you can view the report in Word Format or in PDF Format under View/Download.

Why generate all feedback report is not generating feedback reports?


You could be creating generate all feedback report for first time.

  • The feedback report generation is dependent on the report it is mapped and the changes in the survey. So make sure the report is generated and it contains data in it.

You could have just created all feedback report and you are attempting to do it for second time:

  • Once the feedback report is generated successful and there is no change in report generation time, feedback report will not generate again. The Probench platform look at it as there is no changes made in survey or response it will not generate the feedback report again. In order to generate the feedback report again, generate the report again. The reason you may need to generate the feedback report again is because you made change in the feedback report template.

Why do I see empty list, when I view feedback reports?


One of the most common reason is dataset are not generated or the result of datasets mapped to this feedback report is empty.

Why I don’t find feedback report of a participant?


Go to the report of the feedback report. Open the csv or excel output of dataset. Check for the participant in the output. If it is not there, look for “Includes participants that match” and “Additional Filters” on the dataset.

Send Email To Participants


To send email notification to companies with attached feedback reports, Tick on Email on Publish report Generation checkbox and Click on Publish All icon as given image.

Once feedback report is generated, it will send email to all companies with feedback report as attachment. To resend email we need to click on UnPublish All icon and click again Publish All icon.

Feedback Report Chart


Following are the steps to add chart for feedback report

  1. Return to Report : Name of the Report.
  2. Title : Enter the title/name of the chart.
  3. Chart type : Select which chart need to be visible/used.
  4. Create / Update : Creates or update the chart .
  5. Delete : Deletes the chart.
  6. + Icon : Add new row for the chart.
  7. Legend* : Chart description.
  8. Data/Field : Column name.
  9. Colour : Colour of the data/field which will be visible.
  10. Label : Label of the data/field which will be visible.
  11. Floppy Icon : Save the current row.
  12. Minus Icon : Delete the current row.
  13. Save all rows : Saves all the created row.
  14. Use Data From : Select company name for which chart needs to be preview.
  15. Preview : Click on preview to preview for the created chart
  16. Access Chart Configuration : Configuration for the custom visibility of the chart. (height, width, gridline, font size, colour etc.)
  17. Condition : Add condition when the chart row should be visible.
